HOA Roofing Leads, Booked as Inspections
Lead Engine Sales and Marketing books roof inspections for homeowner associations by calling the community manager or board contact who handles vendor bids. Association roof work moves through a board vote and a reserve budget, so the call establishes the number of buildings, the roof age and the approval route. The confirmed inspection arrives on your calendar.
An HOA roof decision is made by a board on a schedule, funded from reserves, and usually preceded by a reserve study that already says the roofs are near end of life. That means the timing is knowable rather than random. We call HOA boards and the management companies that serve them, ask where the roofs sit in the reserve plan, and book the inspection.
Who do we call about the roof?
- HOA board members
- community association managers
- HOA management companies
- reserve committee chairs
What do we ask on the call?
- how many buildings in the association
- what does the reserve study say about roof life
- is there a special assessment under discussion
- who are the current vendors
- when does the board meet
How does the appointment reach you?
Every appointment lands on your calendar with the address and the time on it, so your estimator knows where they are going and when. Before it reaches you it clears the seven checkpoints of the Lead Engine Appointment Standard.
Why is this different from buying leads?
Shared form leads put you in a race with other roofers. We work with one contractor per market so every inspection we book is only ever yours.
What else do buyers ask before the inspection?
Who decides on a roof for an HOA?
The board votes, usually on a recommendation from the management company, and usually against a reserve study.
Why are reserve studies useful for roofing prospecting?
They put a date on roof replacement, which tells you when the association will be ready to act.

7 checkpoints every appointment clears before it reaches you
Most companies describe a process. This one is written down, checkpoint by checkpoint, so you can hold us to it. An appointment that fails any checkpoint is fixed, rebooked or dropped before your estimator ever sees it.
- 01
Building contact and authority confirmed
The rep confirms they are speaking with the property manager, facility manager, owner or asset manager who can approve a roof inspection.
Fails when: Contact cannot approve a roof inspection.
- 02
Property inside the contractor's approved service area
Every appointment is checked against the zip list and drive radius you approved at kickoff. If the address sits outside your area we do not book it, we do not pass it to you as a courtesy, and we do not sell it to another roofer in the same market.
Fails when: Address outside your approved zips or drive time.
- 03
Roof system, approximate age and the reason for the inspection documented
Roof system, approximate age and the reason for the inspection documented, such as an active leak, a failed survey, a planned replacement or the next budget cycle.
Fails when: No stated reason for the inspection.
- 04
Decision maker confirmed to be present at the appointment
We ask directly whether anyone else is involved in the decision, and if so we book a window when that person is also home. For commercial and property manager appointments we confirm the contact's authority to approve an inspection and who signs off on scope.
Fails when: Decision maker unavailable at the proposed time.
- 05
Specific inspection window agreed and read back
A specific inspection window agreed with that contact and read back, including site access.
Fails when: Contact will not commit to a specific window or site access.
- 06
Calendar invite issued with a unique reference ID
The appointment lands on your calendar with a unique reference ID, the qualification notes attached, and confirmation sent to the homeowner. That ID is how both sides talk about the same appointment later, including reschedules, no shows and outcome reporting.
Fails when: Invite not accepted by the calendar, or a duplicate of an existing booking.
- 07
Final internal QA review before release
A second person reviews the notes against checkpoints one through six before the appointment is released to you. Anything that fails is fixed, rebooked, or dropped. You see the appointment after QA, not before, which is why fewer appointments reach you than we set.
Fails when: Any earlier checkpoint unmet on review.
